Connecting the agency workflowTy Ellison

Everyone’s working towards the same goal, yet the tools they use don’t know that.

A scope becomes a budget. A producer turns it into a timeline. A studio manager resources it. Tracked hours and completed-job reporting often sit somewhere else again.

I built Program Roadmap to connect those stages and use what the agency learns from completed jobs when planning the next one.

Scoping from actual delivery

The system reviews previous jobs for timing and commercial performance. Work that was delivered within the planned time and budget, with hours tracked against it, becomes a reference for comparable scopes.

Future estimates can draw on what similar work actually took, including where the allowance proved too small.

Turning a budget into a schedule

The timeline tool builds a fully editable Gantt chart from the budget, ready to pass to the studio manager for resourcing.

Its library covers around 200 task types, from first-round creative ideation to stakeholder interviews, client presentations and media materials. Each has a typical duration. The budget informs the recommended allowance.

Creative concepting, for example, can range from three to 20 working days. The recommendation can be adjusted in the Gantt chart.

Learning at close-out

When a job closes, the system reviews its timing, tracked hours and budget performance. That reporting informs the next comparable estimate and schedule.

The connected tools carry the information from scoping through to resourcing, reducing the need to rebuild the same plan in separate spreadsheets.

Business efficiency

The system is designed to reduce preparation work for client servicing and reconciliation work for finance. Client servicing can spend more time on relationships, with fewer hours spent rebuilding budgets and timelines.

My role

One connected system takes a job from scope to budget to timeline to resourcing. Nothing gets rebuilt by hand and every estimate learns from the last job. I designed and built it with AI in Claude Code as a reusable skill and a set of connected tools.
